Attendance Report: I have Interns/OJT, but I cannot generate their Attendance

Do you have interns under your bucket? If you’ve noticed that your trainees are missing from your latest records, you aren't alone. It is a common configuration meant to keep your data clean, but it can be a bit confusing when you need those logs for their school requirements.

Please be advised that by default, interns are not included in the active headcount for the system's standard attendance configuration.


Why aren't they showing up?

Under standard system logic, interns are often classified as non-regular personnel or trainees rather than official employees on the active HR and payroll headcount. Consequently, they are excluded from automated attendance tracking to:

  • Protect Metrics: Prevent them from affecting your total employee statistics.
  • Manage Costs: Ensure they do not impact your billing metrics or active seat counts.

How to Fix It? Update Their Status

If your company policy requires their logs to be captured in your formal reports, you can easily adjust their statuses.

The Solution: Change their employment status to Probationary or another active status supported by the report. This change will allow the system to include them in your generated reports moving forward.

Pro Tip: If you move an intern to an "Active" status, remember to transition them back or "Deactivate" them once their internship period ends to keep your headcount accurate.
