# Command Centre: Step-by-Step - Activating and Managing the Record (HR Admin)

**Activate the new hire**

1. Expand the **HR details** card on the new hire's record — it's collapsed until you click it — and choose **Open HR details**. (**Activate in Sprout HR** on the same panel isn't the way in — until they're ready, it only tells you what's outstanding.)

2. Or, if you're already in the document review, click **HR details** on the bar at the bottom of the screen. Either route opens the same fields, and you can **save as a draft** and come back.

3. Work through each group of fields — set out in the table at the end of this section. Anything the new hire entered in their portal is already there; type in whatever's missing. **Check the government ID numbers against the documents as you go** and correct any that don't match.

4. Activate. The employee record is created and the verified documents attached.

| **Group** | **Fields** | **What's already there** |
| --- | --- | --- |
| Personal information | Date of birth, gender, civil status, contact number | Whatever the new hire filled in on their portal |
| Government information | TIN, SSS, PhilHealth, Pag-IBIG | Whatever the new hire entered. Anything they thumbed down arrives blank for you to fill — except TIN, which is generated for you if they don't have one, since Sprout HR needs it to create the record. A generated TIN isn't typed over directly: use the edit (pencil) icon beside it to replace it once you have the real number. Nothing prompts you to, so it stays on the record until someone does. |
| Work information | Job title, department, employment status, employee type, user type, tax status, immediate supervisor, work location, expected regularisation date | Department, from the invite |
| Account | Employee ID, biometric ID, Sprout HR user level | Login name — generated by Sprout HR, read-only |

| Payroll setup | Payroll run type, work days per year, basic salary, de minimis, OT computation table, minimum wage earner | Only appears if your Sprout HR and Sprout Payroll are connected. If they aren't, there's no Payroll setup section and payroll is completed in Sprout Payroll as before |

**Connected to Sprout Payroll? Check your Pay Group list once, before your first activation.**

Creating the employee record sends their **employee type**, and Sprout Payroll only accepts a type that already exists as a pay group. All three values have to be there, spelled exactly: Manager, Officer, RankAndFile. **Command Centre shows the employee type as *Rank and File*, but the pay group has to be RankAndFile** — one word, no spaces and no ampersand.

They're there by default, but the list is yours to edit and some companies replace it with their own pay groups. If one is missing, activation fails for every new hire with that employee type. The list is in Sprout Payroll under **Setup → Company → Pay Group**.

**Activation needs three things:**

1. The new hire's accepted privacy notice
2. Your HR details — **including Payroll setup**, where your Sprout HR and Payroll are connected
3. Every required document verified or waived

Waive anything that hasn't arrived rather than waiting on it — try to activate with a document still pending or sent back and you'll get *"Finish the document review before you can activate."*

One more thing to expect: if the details match someone already in Sprout HR, activation pauses and shows you the existing record, so you can assign a different employee ID or stop.
