# Command Centre: Uploading Documents for the new hire

In Command Centre, you can upload onboarding documents for a new hire, such as a physical copy they handed over or a file they emailed. Since you're the one filing it, the document is marked Verified right away. This article walks you through the steps and the rules for Waived, Verified and Synced items.

1. Choose **Upload for hire** on the item. It's available from the start — you don't need to wait for the new hire to be activated — on any item that isn't already synced, required or optional.

2. Attach the files — you can add **more than one to a single requirement**, just as the new hire can, so a two-sided ID or a multi-page document can go in together. It's **verified automatically**, since you're the one filing it: the item goes straight to *Verified, not synced*, with no separate Verify step.

3. On a **Waived** or already **Verified** item there's no upload button. Revert it first — *Revert waive* or *Revert verification* — then upload. Keeping the two apart means each lands its own entry in the audit trail.
4. Once a document is **Synced** to Sprout HR it's locked here for good.

**Sync documents that arrive after activation**

**This whole section is post-activation only.** Before activation there's no **Sync to Sprout HR** button at all — verified documents carry across on their own when you activate. Syncing is what you do for anything that turns up afterwards.

**Your To-Dos is how you'll know you have any.** An activated new hire with documents still missing turns up there, showing how many are outstanding, with a **Collect** action against it — so you don't have to remember to go looking.

1. The document reaches you the same two ways as before — the new hire uploads it through their link, which stays open, or you upload it yourself with **Upload for hire** for anything handed to you in person.
2. Verify it — unless you filed it yourself with Upload for hire, which verifies automatically. Verifying alone doesn't send anything across.
3. Choose **Sync to Sprout HR** on the new hire's record. It's a **batch**: everything currently verified-but-not-synced goes in one push, not just the document you happen to be looking at.

4. The files land in the employee's Documents section in Sprout HR, against their existing record — no re-activation, no second record.

5. Each one then shows Synced to Sprout HR and is locked here. Repeat as more documents arrive; every sync sends whatever has been verified since the last.

A replacement only overwrites when the file name *and* the file type match exactly. The document is filed in Sprout HR under the checklist item's name, so SSS.jpg over SSS.jpg replaces it — but send SSS.pdf over SSS.jpg and you'll end up with two files on the record, and only Sprout HR can remove one. That's why a synced document is locked here.
