What is employee info lookup?
Employee info lookup lets you pull an employee's details straight from Sprout HR by asking Sidekick in plain language — no accordion sections, no tab switching. You can ask for someone's contact information, work information, employment status, or government IDs right in the chat, and Sidekick returns the answer along with a tappable profile card.
Why do I need it?
When you just need one employee's phone number, department, hire date, or SSS number, opening Sprout HR and clicking through the profile sections is slower than it should be. With employee info lookup you ask Sidekick by name and get the answer in seconds — and you can run several lookups back-to-back in the same conversation without leaving the chat.
How does it work?
Just ask, e.g. "Can I see John Doe's info?" Sidekick replies "Here is John Doe's profile:" and lays the details out in clear sections — Work Information, Contact Information, and Government IDs — followed by an Employee Info card. Tap that card to open the employee's full profile in a side panel, where the employment status badge (e.g. Probationary) shows at the top. Sidekick reads everything directly from Sprout HR and returns it exactly as stored — it doesn't guess or infer values — and it's strictly read-only, so a lookup never changes anything on the record.


What can I look up?
You can ask Sidekick for any of the following, by employee name:
- Contact information — address, contact number, personal email, work email
- Work information — company, department, position/title, employee type, hire date, and more
- Employment status — Sidekick shows the exact Sprout HR status (e.g. Active, Probationary, Resigned, AWOL, End of Contract, OJT), not a generic "Inactive" label
- Government IDs — SSS, TIN, PhilHealth, and Pag-IBIG numbers
Can I look up more than one person at once?
Yes. Ask something like "give me all my direct reports' full profiles," and Sidekick lists the people in scope ("You have 6 direct reports:") and opens an Employee profiles panel where you can search by name, role, or email and click through each profile.


What if I ask about two things at once?
If you ask for something Sidekick can look up together with something it can't — for example, an employee's contact info and their salary — Sidekick answers the part it can and lets you know it can't help with the rest. It won't refuse the whole question just because one part is out of scope.
Access and Viewing ScopeWho has access?
Employee info lookup is available to Admins and Managers in Sprout HR. Regular employees can only see their own information and can't look up other people. What you can see is scoped by your Sprout HR Viewing setting — Sidekick shows you exactly what Sprout HR would show you, and never more.
How much can I see when I look someone up?

"Your organization" and "all companies" here mean the companies under the Sprout HR organization you logged into — the same HR Hub URL. A lookup never reaches across into a separate HR Hub.
Sidekick reads your access straight from Sprout HR. If your Viewing setting looks wrong, that's a Sprout HR configuration matter — updating it there updates what Sidekick can see for you.
How do the viewing types stack up?
Access nests — a broader Viewing setting includes everything the narrower ones below it can see. This table shows what each viewing type can reach:

What happens if I ask about someone I'm not allowed to see?
Sidekick keeps things private. If you ask about an employee who's outside your Viewing scope, Sidekick won't return their details and won't reveal whether that person exists. You'll get a not-found style response, and the option to file a request with your HR Admin instead. Asking about yourself always works from your own record.
What if more than one person matches the name?
If the name you give matches more than one employee in your scope, Sidekick lists the matches and asks you to pick before showing any data to help you tell them apart. It never guesses which one you meant, and it includes any matching employees who are inactive (with their status shown) so you can spot the right person.
Can I ask a follow-up question like "what about her contact number"?
Yes. Right after you've looked someone up, you can keep the conversation going — ask "what about her contact number?" and Sidekick understands you still mean the same employee and returns just the details you asked for.
Data and LimitationsAre government IDs shown in full?
Yes. SSS, TIN, PhilHealth, and Pag-IBIG numbers are returned in full and unmasked, matching how they already appear to you in Sprout HR.
What if some fields are blank?
Sidekick returns the fields that exist and marks any that are empty as "No data on file." If everything you asked for is blank — say, an employee with no contact details filed — Sidekick tells you that plainly instead of returning an empty result.
Can I look up salary or payroll details?
Not just yet! Salary, payroll, and bank account details aren't part of employee info lookup for now — Sidekick won't return those.
Can I download files or ID scans?
No. Uploaded documents — ID scans, 201 files, contracts, and other attachments — aren't available through employee info lookup, so Sidekick won't return them.
Can I look up performance reviews or disciplinary records?
No. Performance, evaluation, and disciplinary records aren't accessible through employee info lookup, so Sidekick won't return them.
Can I get a ranked list or report — like who has the longest tenure on my team?
Sidekick can pull a group of employees' profiles into a searchable panel, but it isn't built for reliable rankings, sorting, or counts. For guaranteed results on that kind of question, use Sprout HR reports.
No. Employee info lookup is read-only. Sidekick can retrieve details but can't change them, and looking someone up leaves no mark on their record. To update information, use Sprout HR.
Can I look up someone in another company?
Yes — as long as they're in the same Sprout HR organization, meaning the same HR Hub URL you logged into. Several Viewing settings span multiple companies within that organization — All and the Specific Employee Level options — so you can look up employees in those other companies. The company, on the other hand, limits you to just your logged-in company. What Sidekick can't do is cross into a different Sprout HR organization — a separate HR Hub URL — in the same conversation, since each session is tied to the one you logged into. To look up employees there, you'd log into that HR Hub separately.
Is employee info lookup secure?
Yes. Sidekick only ever returns what your Sprout HR access already allows, and sensitive lookups are recorded on the back end for compliance. Sidekick never exceeds the boundaries Sprout HR sets for you.
Does this need to be switched on?
Employee info lookup runs through the Records agent's Employee information feature. Your admin needs to have that enabled for your account before lookups are available.
