New hires upload their pre-employment documents through a secure link, your HR team verifies them in one place, and their Sprout HR employee record is created when you activate them. Nobody re-types information you've already collected. ### What do we need to set up first? At least one **checklist** template — which documents you require and who reviews them. You build it yourself under **Workflows**, and you can't invite your first new hire until it exists. Onboarding takes checklist templates only: the form and document templates you'll see under Workflows belong to other processes and won't appear when you pick one for a new hire. The product manual walks you through it, and your Customer Success contact can help if anything's unclear. ### Can we require different documents for different roles? Yes. Build a checklist for each and choose the right one when you invite — there's no limit on how many you set up. The one thing that isn't automatic is the choosing: nothing assigns a checklist by job title, so it's your pick at invite. ### We edited a checklist after inviting someone. Does it change what they see? No. The checklist is captured at the moment you send the invite, and that copy is what the new hire completes and what your team verifies — so editing the template afterwards never moves the goalposts on someone already uploading. Their record shows the checklist they were invited under, so you can always tell which version applied. If you picked the wrong checklist, the way to change it is to delete the new hire's record and invite them again on the right one. That starts them over, so it's worth catching before they've uploaded anything — a delete clears whatever they've already sent. ### We use Sprout Flow for onboarding. What happens to it? Onboarding in **Sprout Flow** — the workflow module in the Sprout Ecosystem — is being retired, and Command Centre replaces it. **There's no migration and no changeover date.** Start onboarding new hires in Command Centre whenever you're ready, and anything already underway in Sprout Flow can finish there. Nothing moves across, and nothing has to be switched off first. ### Who on our team can use this? Access follows Sprout HR — an administrator there is an administrator here, at the matching level, so there's nothing to grant separately in Command Centre. Onboarding is scoped per company: an admin sees the new hires of the company they're working in and nobody else's, so if you run several companies under Sprout, their onboarding stays separate. ### Who decides which documents get approved by whom? Your checklist does. Set a default approver and every document inherits them, then override only the exceptions — a document can name its own approver, or several. **An override adds a name rather than replacing one:** the default approver can still sign off anything, and so can a final verifier. Where several people are named on the same document, any one of them can approve it — nobody waits for a co-signature.
