Troubleshooting: Server Error When Viewing Attendance Application Attachments

Ever wondered why you cannot view or are receiving an error when viewing attachments on the attendance applications of your employee in Sprout HR? Such as a Certificate of Attendance (COA), Leave, Overtime request, etc.?

It can be frustrating when you are trying to review an application but are blocked by a "Server Error" or a failed preview. This typically happens due to how the system processes specific characters in file names or the state of the file itself.

What to Check?

If you encounter this error, please verify the following:

  • Unsupported or Corrupted Files: Ensure the file uploaded by the employee is not crashed or in a format not supported by the platform.
  • The "Ampersand" (&) Issue: Check the file name of the attachment. Currently, while your device allows a file name containing an ampersand (&) to be uploaded, it triggers a server error when an admin or manager attempts to view or download it from the attendance application in the Approval Center.

Recommended Workaround

Until a permanent enhancement update is implemented, you may advise your employees to avoid using special characters in their file names.

The "And" Solution: If a file name requires a conjunction (e.g., "March 2 & 3"), kindly rename the file using the word "and" instead of the symbol (e.g., "March 2 and 3").

Pro-Tip: For the smoothest experience, keep file names simple and alphanumeric (e.g., COA_JohnDoe_04292026).

Rest assured that our Product Team is already aware of this behavior. The issue has been escalated for further investigation, and a system enhancement is being developed to ensure that symbols like ampersands are handled correctly in future updates.

We appreciate your patience as we work to improve this feature!
