# Why is approved paid leave not being included in the payroll computation for Daily Paid employees?

### **Issue Overview**

A daily paid employee’s approved **Leave with Pay** is not reflected as paid in the payroll computation, resulting in the leave days being excluded from the employee’s compensation or Total Hours Worked (THW) reflecting as **0 hours**.

### **Cause**

This typically occurs when a leave request is filed and approved while the employee’s work schedule is plotted as a working day, but a new schedule is subsequently plotted tagging those specific dates as **Rest Days**.

- In Sprout HR, a leave application cannot normally be submitted for dates already tagged as Rest Days.
- However, if the leave was filed **before** the Rest Day schedule was applied, the system allows the request to be submitted and approved.
- Once the schedule was updated to a **Rest Day**, the system reflected the **Total Hours Worked (THW) as 0 hours** for the affected dates. However, the approved leave application remained in place, and the corresponding **leave credits were still deducted from the employee’s leave balance**.As a result, while the leave credits were deducted, the leave pay was not captured during payroll processing.

**Sample Scenario:**

The employee filed the leave application on September 10, 2026.

At the time the leave was filed, the employee’s active schedule configuration allowed the leave request to be processed successfully:

However, a new schedule was subsequently plotted for the same dates, which tagged September 14–17, 2026 as Rest Days:

Since the schedule was subsequently updated and the affected dates are now tagged as Rest Days, the Total Hours Worked (THW) for these dates was set to 0 hours. Consequently, the approved paid leave was not included in the payroll computation.

### **Resolution Steps**

Choose the appropriate solution based on the employee's intended schedule:

###### **Option 1: The affected dates are genuinely Rest Days**

- Cancel the approved leave applications covering September 14–17, 2026.[How to Cancel an Approved Leave](https://guide.sprout.ph/how-to-cancel-an-approved-leave?hsLang=en)
- This will return the corresponding leave credits to the employee’s leave balance.

###### **Option 2: The approved leave is valid and should be paid**

If the employee was supposed to have a working schedule on those dates:

- File a Schedule Adjustment (SA) for September 14–17, 2026 to update the employee’s schedule accordingly.[Schedule Date-Tagging: How to Add a Schedule Adjustment](https://guide.sprout.ph/schedule-date-tagging-how-to-add-a-schedule-adjustment?hsLang=en)
- This should allow the THW to reflect 8 hours instead of 0 hours for the affected dates.
- Once the schedule has been corrected, reprocess the attendance/payroll computation so the approved paid leave can be captured correctly.
