Can an Employee on Half-Day Leave File Overtime Under a Flexible-Per-Day Schedule?

When managing employee attendance, handling overtime (OT) alongside half-day leaves can function differently depending on the employee’s assigned work schedule.

If an employee is assigned a Flexible per Day schedule, system-calculated overtime will not automatically apply on a day they take a half-day leave.

Here is a breakdown of why this happens and how administrators can handle exceptions.

Unlike fixed "Normal Shift" schedules—where taking a half-day leave reduces the required working hours for that specific calendar day—a Flexible per Day schedule operates differently:

  • Core Hours Shift: Filing a half-day leave adjusts or moves the employee’s required core hours for that day.

  • Total Daily Hours: The employee is still expected to complete the full required daily hours set on their Employee Profile (under Work Schedule), minus break time.

Because the system requires the employee to meet their full daily profile hours before overtime calculation kicks in, regular overtime filed on a half-day leave will not be accepted or automatically calculated by the system.

Alternative Solution: Manual One-Time Adjustment

If company policy dictates that the employee should still receive overtime pay despite taking a half-day leave, payroll admins can process this manually.

Instead of filing standard overtime through the regular portal entry:

  1. Calculate the approved overtime hours/amount manually.
  2. Upload the amount as a One-Time Adjustment using the Overtime Adjustment type in payroll.
