My Request - Certificate of Attendance

With the Sprout Mobile App, you can easily file, track, or cancel your Certificate of Attendance requests anytime, anywhere. Whether you forgot to log in, need to validate your shift, or simply want to keep your records complete, you can do it all from your phone — quickly, clearly, and hassle-free.

Filing a Certificate of Attendance


Users need to select a request type to begin. In this case, choose Certificate of Attendance — and you’ll be taken to its Request History page.

Tap the Apply (+) Button at the Lower Right Corner

  • A calendar will appear where you can select the date or date range you want to file a Certificate of Attendance (CoA) for

Once Selected, You’ll be Taken to the Date Breakdown

  • Choose whether you’ll be adding an “Add In” or “Add Out” entry based on what your CoA requires.
  • If you’ve selected multiple dates, you can use the “Copy to…” feature to quickly apply the same In/Out details across all selected dates.

Confirm Your Selection, then Select a Type

  • For CoA applications, selecting a Type is required to properly categorize your request.
  • The available types are:
    • Others – a custom type field will appear for you to specify the reason
    • Biometric Device Malfunction
    • Power Outage
    • Official Business – for instances when you were unable to log attendance due to work outside the office (e.g., client meeting or sales demo)

Confirm Your Selection, then Provide a Reason for Your CoA

Next, You’ll be Brought to the CoA Application Page

On this page, you can review and confirm all details before submitting your CoA Application.

You’ll be able to review the following:

  • Date/s of your CoA
  • Date Breakdown (In/Out entries)
  • Selected CoA Type (and Custom Type, if applicable)
  • Reason for filing

You’ll also have the option to attach supporting files. Note that Attachments are optional by default, but may be required depending on your company’s policy. You can take a photo or upload a file in any of the following formats: JPG, JPEG, PNG, DOC, DOCX, or PDF — with a maximum file size of 5MB.

Once Details are Complete, tap Next

Afterward, you’ll be brought to the CoA Request Summary Page, similar to the above, where you’ll see an overview of your application.

  • Double-check your details
  • If everything looks correct, tap Submit Application

When successfully filed, you’ll receive a confirmation message and your request will move to the Pending tab in your Request History, awaiting action from your Immediate Supervisor.

Canceling a CoA Application


You can only cancel CoA requests that are in Pending or Resubmitted for Editing status.

  • If your request has already been Rejected or Cancelled, it is no longer eligible for cancellation. If your request has been Approved but the date is upcoming, you can still cancel it. However, once the date is current or has already passed, it will no longer be eligible for cancellation.

To cancel a CoA request:

Open the CoA Request in the Request History

Tap the Cancel Request Button

Enter Your Cancellation Reason in the Prompt

This reason helps your approver understand why the request was canceled. Once filled out, tap Cancel Request again to confirm.

Confirmation

The page will reload and display the Leave Summary Page with the updated status: Cancelled.

Updating a CoA Application


Editing or updating your Certificate of Attendance (CoA) requests isn’t available in the Sprout Mobile App (yet!). If you need to make changes, please open Sprout HR in your browser and update your request there.
