What is the Records agent?

Records agent helps you access and generate employee records and documents through chat, making it easier to retrieve official information without navigating multiple systems.

  • Employee information: View employee profile and employment details from Sprout HR.
  • COE generation: Generate Certificates of Employment (COE).

Why do I need the Records agent?

Records agent lets you generate official employee documents, like Certificates of Employment, quickly and on your own. It removes the need for manual requests or back-and-forth with HR, saving you time and effort.

How does the Records Agent work?

Records agent pulls your employment details from Sprout HR and uses your company’s configured template to generate records through chat. Just make a request, and the document is created instantly if the agent is enabled for your company.

Can I generate records for other employees?

No. Records agent can only retrieve or generate records for your own employee profile.

Can I customize the COE generated?

No. The COE uses a fixed template across all companies. Your admin can upload your company logo, which will appear on the document.

Are generated records official?

Yes, they are deemed official if your admin enables the agent for your company. Records generated also follow your company’s configured template, making them valid for official use.

Do I need admin approval after generating the COE?

No, it is fully self-service. Once your admin enables the agent, any COE you generate is considered approved.

Can I generate a COE even if our company doesn’t have Sprout Payroll?

Yes! It works even if you only have Sprout HR (half sync), but your COE won’t have any compensation by default.

Is there a limit to how many records I can generate?

No, you may generate unlimited COEs.

Will my data be secure when using the Records agent?

Yes. Your records are generated securely, and you remain in control of your data. You can clear conversations anytime. Once cleared, any generated COEs will also be removed.


What are the limitations of the Records agent?

Currently, Records agent has a few limitations:

  • You can only generate a COE now; no other documents are available.
  • The COE uses a fixed template that cannot be customized.
  • No approvals are required—COEs are automatically considered approved if enabled.
  • Sprout HR only accounts (half sync) will not have compensation details.
