Step-by-Step Guide to Completing a Year-To-Date Template

 
 
Year to Date (YTD) refers to the period beginning on the first day of the calendar year or fiscal year and continuing up to the current date. YTD upload is important for integrating payroll data from the previous payroll run(s) made prior to using the Sprout Payroll system.
 
Follow these simple steps to fill out the YTD template to be uploaded into Sprout Payroll:
 
1. Go to the Payroll Run tab.
 
 
 
2. Click Upload YTD
 
 
3. Click Download Excel Template
 
 
 
4. Fill out the necessary details on the template
 
 
Employee Information:
  • Status (leave it blank)
  • Reporting Month (select from the dropdown)
  • Employee ID (refer to 'Employee List' sheet)
  • Full Name (refer to 'Employee List' sheet)
 
Taxable Compensation Income:
  • Basic Salary - the salaries and wages of the employee
  • Absent (for the month) - leaves that are without pay
  • Late/Undertime (for the month) - the working time that is less than full time or the required minimum
  • Overtime (for the month) - the additional pay in excess of the required working hours
  • Allowance - additional pay meant to help cover specific job-related expenses or personal needs of the employee
  • Commission - these are incentives based on sales
  • Bonus - additional pay given to employees to recognize their hard work, performance, and contributions to company success.
  • Monetized Leave - unused leave credits that is converted to cash
  • Other Taxable Income - these are taxable earnings that are not related to basic salary
  • 13th Month Taxable - government-mandated compensation given to employees typically at the end of the year

 

Non- Taxable/ Exempt Compensation Income
  • Basic Salary (MWE) - the lowest wage an employee may be paid
  • Absent (MWE) - leaves that are without pay
  • Late/Undertime (MWE) - the working time that is less than full time or the required minimum
  • Overtime Pay (MWE) - the additional pay in excess of the required working hours
  • De Minimis Benefits  - these are the benefits given on top of compensation
  • Allowance - additional pay meant to help cover specific job-related expenses or personal needs of the employee
  • 13th Month Pay - government-mandated compensation given to employees typically at the end of the year
  • Bonus - additional pay given to employees to recognize their hard work, performance, and contributions to company success.
  • Monetized Leave - unused leave credits that is converted to cash
  • Other Non Taxable Income - these are non-taxable earnings that are not related to basic salary
  • SSSEE - the SSS share of the employee
  • SSSEC - the SSS share of the employee's compensation
  • SSSER - the SSS share of the employer
  • PHEE - the PHIC share of the employee
  • PHER - the PHIC share of the employer
  • HDMFEE - the HMDF share of the employee
  • HDMFER - the HMDF share of the employer
  • HDMF Additional - HMDF 2 or the additional HMDF contribution
 
TAX
  • Withholding Tax - the tax withheld of the employee

OTHERS

  • Reimbursable Allowance - the expenses of the employee that is reimbursable from the employer (e.g travel allowance, meal allowance, communication allowance, etc.)
  • SSS Loan - the paid amount from the employee's SSS Loan
  • SSS Calamity Loan - the paid amount from the employee's SSS Calamity Loan
  • HDMF Loan - the paid amount from the employee's HDMF Loan
  • HDMF Calamity Loan - the paid amount from the employee's HDMF Calamity Loan
  • Miscellaneous
 

Net Pay

  • Net Pay - the exact take home pay of the employee
 
 
5. Once you have finished entering the information in the template, click 'Choose File' and select the saved file, then click 'Upload YTD.'
