Resolving logs beyond threshold by adjusting unrecognized logs in Payroll
An employee’s logs per shift should be within the prescribed pre-shift and post-shift threshold in order to be properly reflected on the attendance report. Otherwise, the attendance report will show either “No Logs” or will reflect incorrect log in/out. To ensure that correct logs are showing on the attendance report, the employee must have an approved schedule adjustment that covers both pre-shift and post-shift threshold. - The first step to resolve the missing logs is to adjust the schedule accordingly, something which is explained here in What to Do When the Biometric Logs are Beyond the Threshold?
- However, there are instances that if logs are beyond the threshold, it cannot be simply resolved using Schedule Adjustment.
Schedule Type – Normal Shift
Shift Hours – 8:00 AM to 5:00 PM
Biometric Logs:
8:00 AM – IN
9:00 AM (next day) – OUT
- This will reflect as missing logs in attendance report.
- You should ensure that logs are the first login and logout are within (6 Hours pre-shift) and (8 Hours Post-shift)
- The end of the shift of the employee must be at least 1:00 AM. This is to ensure 9:00 AM is still within the 6 Hours threshold. If you will adjust the schedule from 4:00 PM - 1:00 AM, the 8:00 AM logs will not going to be recognized because it’s already beyond the 6 Hours Pre-shift threshold.
Here’s what you need to do:
- Leave the schedule as it is which is 08:00 AM - 5:00 PM
- The employee can file COA on the exact last threshold hour at 1 AM. (How to File for a Certificate of Attendance (COA) Application)
- If you are an admin, you can also add biologs on behalf of the Employee in Attendance Management. (How to Manually Add Biometric Logs?)
- Delete the 9:00 AM log out in attendance management. (How to Delete Biologs)
- Once the attendance is imported in Payroll, the rest of the unrecognized logs should be manually added.
- Afterwards, you must:
- Add (5 hours) Ord-ND-OT 01:00 AM - 6:00 AM.
- Add (3 hours) in Ord-OT 06:00 AM - 9:00 AM.
Schedule Type – Flexible per day
Core Hours – 10:00 AM - 4:00 PM
Hours to work - 9
Biometric Logs:
6:00 AM – IN
12:00 AM - IN
3:00 AM IN
09:00 AM OUT
- This will reflect as 6:00 AM - 3:00 AM in attendance report. First, You should ensure that logs are within (6 Hours pre-shift) and (12 Hours Post-shift)
- If you will apply schedule adjustment to resolve the missing logs, you need to adjust the core out of the employee from 4:00 PM - 9:00 PM to ensure that 3:00 AM logs is within the 12 Hours post-shift threshold. However, adjusting the schedule will result to uncaptured fist log. If you will count 6 hours from the core start which is 4AM, the allowable login is only up to 9 AM.
Here’s what you need to do:
- Let the core schedule as it is which is 10:00 AM - 4:00 PM
- The system will still capture until 3:00 AM of the Employee logs.
- Once the attendance is already imported in Payroll, the rest of the logs (3:00 AM - 9:00 AM) should be manually added. See steps below:
- Add 3 HOURS in Ord-ND-OT (3:00 AM - 06:00 AM)
**Please take note the threshold and Night Differential varies based on your company policy. The samples above are based on be default threshold which is (6 Hours Pre-shift and 8 Hours Post Shift) for normal schedule and (6 Hours Pre-shift and 12 Hours Post Shift) for flexible schedule and default Night Differential hours which is (10:00 PM - 6:00 AM). It may seem a little tricky, but this method is nifty in making sure that an employee is properly compensated for all the hours of work rendered.
