What Happens When There is a Mismatch in the Biometric ID?

Biometric ID is Sprout HR’s identifier for the transmission of logs from the device to Sprout HR. Mismatch in biometric ID will route the logs to another user or will sometimes cause missing logs. It is noteworthy that Biometric ID should be unique to ensure that the logs will only appear to their records. If we are to change the biometric ID to a new one, we need to get all the employee's logs using his old (incorrect) biometric ID and save/upload it using his new (correct) biometric ID. With that, we will ensure that his previous logs will still be reflected after the change is made. Just follow the simple steps here:

 STEP 1. Generate the current logs. There are 2 options on how to go about it:

1. Attendance Management:

  • Go to Admin tools > Attendance Management​

  • Select the date range based on the Start date of the employee to capture all the logs registered in the current Biometric ID

  • Select employee name from the employee dropdown.

  • Click Search to generate the logs

2. Extract the logs from the biometric device.

Note: The first step would only apply for those employees with biometric logs in the device already synced to Sprout HR.

 STEP 2:  Generate the current Biometric ID for your reference. You may use Employee list report or Employee information bulk upload to generate the data. 

 STEP 3: Before uploading the extracted logs, the Biometric ID should already be updated.

 Go to Employee profile > Work Information mceclip7.png

  • Input the correct biometric id under Biometric ID section

  • Scroll all the way down in the employee profile and then save ​mceclip6.png

 Note: You need to remember that biometric logs from the old biometric ID will be retained. Once you transferred the Biometric ID to a different employee, that employee will also get the logs of the original biometric ID owner  We would highly suggest assigning unused Biometric ID. Otherwise, you have to delete the logs one by one using attendance management. In case, you may check this KB article: How to Delete Biologs

STEP 4: Use the bulk upload template to import the extracted logs from attendance management or logs extracted from the device.
